Badge Pick-up Locations
All exhibitors, including exhibitor appointed contractors, must pick up their official badge at a designated location. If you need off-hours work pass or special events passes, you can collect them at the security desk outside the show floor before the show hours close each day, or in the operations office, located at 3DO4.
Exhibitor Appointed Contractor Registration
Are you planning to hire a vendor that’s not on our preferred vendors list? If yes, you must register each company as an Exhibitor Appointed Contractor through the EAC Registration Portal by October 18, 2026. Common use-cases include booth installation/dismantle labor, florists, photographers and audio-visual equipment providers.

Members of the media will be present at this event. Please note that anything you showcase on display at your booth and otherwise is considered public record and may be used in written articles, audio recordings and photo/video documentation. On-site Security Tips
Please review important security tips and best practices to help ensure a smooth and secure event experience while at on-site for NAB Show New York.
- Secure Your Booth:
- Always keep valuable items such as laptops, tablets and merchandise securely stored when not in use.
- Use lockable display cases or cabinets to protect high-value items.
- Avoid leaving cash or sensitive documents unattended in your booth.
- Do not place valuable items like handbags or laptops behind your booth.
- Control Access to Your Booth:
- Designate specific staff members to manage access to your booth and monitor visitor activity.
- Be cautious of unauthorized individuals trying to handle your merchandise.
- Be Aware of Social Engineering:
- Be vigilant of individuals posing as attendees or exhibitors who may attempt to gain unauthorized access to your booth or sensitive information.
- Do not turn your back on attendees if they are handling product.
- Report Suspicious Activity:
- If you notice any suspicious behavior or security concerns, report them immediately to event security personnel or show management. Javits security can be reached at +1 212-216-2222.
- Trust your instincts and err on the side of caution if something doesn’t seem right.

Medical Emergencies
Please call 911 if needed, then immediately call the Javits Center Public Safety Command Center at +1 212-216-2222. Internal resources will be dispatched, and our team will coordinate first responder’s arrival.
Information Counters
If you have any questions while on-site, visit the main registration counter and NAB Show New York staff will be happy to assist you! Lanyards will also be distributed at these counters.

Exhibitor Work Rules and Regulations
Rules and Regulations
Exhibitors participating in NAB Show New York are encouraged to review the official rules and regulations to ensure a safe, compliant and successful on-site experience. Guidelines outline what is and is not permitted across all aspects of exhibiting —from booth design, labor and material handling to the use of audio-visual equipment, lighting and demonstrations, and policies on safety, security and legal compliance.
Exhibitors must adhere to all federal, state and local regulations, follow venue-specific requirements (including ADA and fire safety standards), and coordinate with approved contractors for certain services. The rules also detail enforcement procedures and potential consequences for non-compliance to help maintain a professional and secure environment for all participants.
We strongly recommend exhibitors review all NAB Show New York and Javits Center rules and regulations, including:
Hand Carry Policy
The outlined hand carry policy is designed to maximize exhibitor move-in/out efficiency, minimize traffic congestion, reduce our carbon footprint and negative impact on the west side of Manhattan.
Exhibitors may hand-carry materials into the facility during designated move-in and move-out periods, subject to Javits Center regulations.
Hand-carry for exhibitor move in for NAB Show New York will be possible from:
- Monday, Oct. 20 | 8:30 a.m.-4:30 p.m.
- Tuesday, Oct. 21 | 8:30 a.m.-4:30 p.m.
- Thursday, Oct. 23 | 5-9 p.m.
Hand-Carried Items Location
Exhibitors transporting hand-carried items to South Javits may access the building via the inner roadway on Level 2 during designated hand-carry hours.
Enter through the Guard Shack located at 38th Street and 11th Avenue, where security staff will direct you to the inner roadway in front of the building for unloading.

Please note: Exhibitors should take notice that 11th Avenue and the adjacent streets around the Javits Center are no longer permitted to be used for staging or unloading hand carry materials as in years past. Likewise, hand carry materials are no longer permitted to enter Crystal Palace, via 11th Avenue due to Lincoln Tunnel congestion concerns.
Approved During Hand-Carry Operations
Individuals moving materials must be employees of the exhibiting company and may be required to provide identification verifying their employment status.
The following are permitted during hand-carry operations:
- Vehicles no larger than a standard passenger van
- Pop-up displays that are 10 feet (3.05 meters) or less in length and can be carried by one person
- Display materials that can be hand-carried by one person
- Display materials that can be moved using a two-wheeled hand truck or baggage cart
- Hanging clothing racks with four wheels used to transport garments
- Standard jewelry cases with four wheels used to transport jewelry and trade products
Additional requirements include:
- All vehicles will be issued a Javits Center placard for staging.
- Vehicles are limited to 45 minutes for loading and unloading. Time limits are strictly enforced.
- Hazard lights must remain activated while vehicles are staged.
- Hand-carried materials may enter through approved facility access points and only during designated event hours.
- Vehicles must be staged as directed by Javits Center Public Safety.
- For outbound moves, all exhibit materials must be packed before staging a vehicle curbside.
Prohibited During Hand-Carry Operations
The following are not permitted during hand-carry operations:
- Materials originating from vehicles parked on New York City streets for the purpose of delivering, staging or collecting exhibitor materials
- Freight delivered from a box truck, commercial vehicle or any vehicle larger than a standard van
- Freight moved using equipment larger than a two-wheeled baggage cart
- Freight that cannot be safely carried by one person
- Freight moved by a moving company, freight company, contractor or anyone other than Javits Center freight handlers or direct employees of the exhibiting company engaged in approved hand-carry operations
- Power tools, ladders, vacuum cleaners or construction equipment without advance written approval
- Any equipment other than a two-wheeled baggage cart with plastic or rubber wheels

Safety Notice Hanging Sign and/or Aerial Orders
Hanging signs may not exceed the maximum height permitted for the applicable booth type. The maximum height for hanging signs is 24 feet (7.32 meters) in island and split-island booths.
Hanging trusses are permitted in island booths larger than 400 square feet (37 square meters) and must comply with all applicable rigging requirements.

Placement Requirements
- All hanging signs must be installed directly above the exhibitor’s contracted exhibit space. Review the booth types section to find the rules for your specific booth.
- Freeman provides dedicated hanging sign shipping labels through Freeman Online Services.
Rigging Requirements
- Freeman is the exclusive rigging provider for NAB Show New York. Please review the rigging section of our rules and regulations for more information.
Shipping and Installation
- To help ensure an efficient move-in process, exhibitors should label and pack hanging signs separately to help ensure efficient installation during move-in.
Freight Management
Move-In Reminders
Advanced Shipping
If you shipped your freight advance-to-warehouse by the deadline date, it will be delivered to your booth by 8 a.m. on your target move-in date.
Direct-to-Show Shipping
If you shipped your freight direct-to-show, your carrier must check in at the Marshalling Yard by 3:30 p.m. on your assigned target move-in date for same day unloading. Depending on when your carrier checks in, freight may be delivered to the booth as late as midnight on your target move-in date. Overtime charges for labor and material handling will apply Monday through Friday from 5 p.m. to 8 a.m. and all day on Saturday, Sunday and Holidays.
Empty Booths
If your booth is not set by 5 p.m. on October 19, 2026, show management reserves the right to rent or use empty space in a way that will complement the overall appearance of the show and shall not be obligated to refund the space rental fee. Exhibitors may lose their right to exhibit if they do not adhere to the schedule outlined.

Move-Out Reminders
Dismantling may not begin before 5 p.m. ET on Thursday, October 22.
Examples of prohibited activities include: Dismantling or packing of display, product, or samples; contractor labor in booth; leaving the booth unmanned; and boxes or shipping containers visible in booth. Furthermore, all truss and motors must be dismantled, and all carriers must check in by 5 p.m. ET on October 22. Please ensure all staff associated with your booth understand these policies.
