Booth and Space Selection
How do I purchase a booth for NAB Show New York?

Can I change booths?
Absolutely! Email the NAB Show New York sales team to review availability.
What is the payment schedule?
New booth contracts have 30 days from the contract date to complete their final payment. All exhibitors with outstanding balances are encouraged to submit their final payments as soon as possible.
Payments can be made conveniently through your Exhibitor Resource Center.
How do I update our contact information?
Did your point of contact change? No problem. Email the NAB Show New York sales team to update your company’s exhibitor contact record.
When can I start ordering services?
You can start ordering services now via Freeman Online Services.
Can I set up my own booth?
Exhibitor employees may perform the following work within their own booth:
- Set up and dismantle displays booths when they do not exceed 250 square feet (23.2 square meters) or smaller, provided the booth can be assembled and dismantled without the use of tools or ladders.
- Unpack, pack and arrange their own merchandise, products and display materials within their booth.
If your booth requires tools, ladders, specialized labor, or exceeds 250 square feet (23.2 square meters), you may hire an Exhibitor Appointed Contractor or order installation and dismantle labor through the Official Service Contractor. All EACs must register with show management and comply with the Javits Center Work Rules and Policies, insurance requirements, and all applicable labor regulations.
When unsafe set-up or dismantle conditions exist, the Javits Center may elect to suspend the exceptions listed above and Javits exhibit building labor will complete the set up at the exhibitor’s expense. The Javits Center may issue more detailed rules on this from time to time.
For safety reasons, if unsafe installation or dismantle conditions exist, the Javits Center may suspend these exhibitor work exceptions and require official exhibit labor to complete the work at the exhibitor’s expense.

Exhibitor Registration
What are the different exhibitor badge types?
NAB Show New York offers four primary exhibitor badge types. Review the exhibitor access hours and badge types resource to learn more.
Exhibitor Booth Personnel Badge
For your booth staff. Includes early/late access to the show floor. Badges may not be used for outside vendors doing work in your booth.
Allotment: 8 badges per 100 square feet. Additional staff must purchase badges for $25 each.
Manufacturer Representative Badge
For third-party sales representatives (typically independently selling an exhibiting company’s products on-site).
Allotment: Unlimited
Guest Pass Badge
Offer your customers and prospects access to the show floor with your company’s unique discount code and customized marketing tool. Our Guest Pass Program offers benefits to your buyers and grants you qualified leads.

Exhibitor Appointed Contractors Badge
Registered EACS require a badge to access the show floor before or after show floor hours on show days. Note: EACs are not allowed on the show floor during public show hours.

Does every staff member need to register?
Yes, everyone on the show floor needs to register to receive a valid badge.

How many free Exhibitor Booth Personnel Badges do I receive?
Every exhibitor receives eight badges per 100 square feet (9 square meters) of booth space. Additional badges can be purchased for $25 through your Exhibitor Resource Center.

How can we obtain passes to invite our guests?
Exhibitors may invite an unlimited number of guests through our Guest Pass Program. Access your guest pass code in your Exhibitor Resource Center.
How can I obtain a copy of my registration receipt?
Your registration confirmation email serves as your receipt. If needed, you can resend your confirmation email through your Exhibitor Resource Center.
If you need another copy:
- Booth Managers: Log into the Exhibitor Resource Center to manage registrations and resend registration confirmation emails.
- If you do not have access to the Exhibitor Resource Center, please contact Maritz by completing their online form or by calling +1 864-342-6296 to request that your registration confirmation email (receipt) be resent.
What if I need to correct or reprint a badge?
Badge corrections, such as name spelling updates, are free when the original badge is returned on-site. Lost badges may be reprinted for a fee of $50.

Thursday, October 22: 10 a.m.-5p.m.
When can exhibitors access the show floor?
Monday, Oct. 19: 8 a.m.-5p.m.
Tuesday, Oct. 20: 8 a.m.-5p.m.
Wednesday, Oct. 21: 7:30 a.m.-8p.m.
Thursday, Oct. 22: 7:30 a.m.-8p.m.
If you need to arrive earlier or stay later, please pick up an Off-Hours Work Pass in room 3D01 from 8 a.m.-5p.m.
Is there an age restriction to attend the show?
Yes, you must be at least 16 years old to attend NAB Show New York.
When are the target move-in and move-out dates?
Monday, Oct. 19
- 8a.m. to 5 p.m. | Targeted exhibitor move-in access
Tuesday, Oct. 20
- 8 a.m.-5 p.m. | Exhibitor access hours. All booths much be set up by 5 p.m.
Thursday, Oct. 22
- 5-8 p.m. | Targeted move-out access. All exhibitor materials must be removed from the show floor by 9 p.m.
Marketing and Press
Can I film or take pictures at the show?
Personal photography and video are allowed but may require exhibitor permission. NAB retains ownership of all event imagery and recordings. Commercial filming requires prior approval.
What is NAB Show New York’s audio/visual policy?
By registering for NAB Show New York, you consent to NAB’s audio and video policy.
Photography and/or recordings (including audio and video) during NAB Show New York is allowed for personal and private use only; however, these photos and/or recordings are the exclusive property of NAB.
Photos and/or recordings cannot be copied, altered, sold, exhibited or further distributed without NAB’s prior written permission.

Is there an airline discount?
Unfortunately, we are not offering an airline discount at this time.
Are hotel discounts being offered?
Yes! NAB Show New York partners with Maritz to provide reduced rates and benefits. Book now through our official housing site.
Please be aware of housing scams. Third-party companies not affiliated with NAB Show New York may claim to have hotel rooms available at significant discounts. These companies are not affiliated with NAB Show New York, and you therefore place yourself at financial risk if you provide them with your credit card information or complete a wire transfer.

What is the difference between the Exhibitor Services Kit, Freeman Online Services and the Exhibitor Resource Manual?
These resources support different parts of your exhibitor planning process:
Exhibitor Services Kit
NAB Show New York’s Exhibitor Services Kit includes key show information, deadlines, rules, required forms and planning resources exhibitors need to prepare for the show.
Freeman Online Services
Use Freeman Online Services to order and manage booth services provided by the general service contractor, including furnishings, labor, utilities, shipping, material handling and other on-site booth needs.
Exhibitor Resource Center
Use the Exhibitor Resource Center, also known as your Map Your Show dashboard, to manage your booth contract, company profile, booth information, lead generation, meeting requests, registration needs, task list, SSO integrations and booth design requirement uploads.
What is the myNAB Show New York Planner?
The myNAB Show New York Planner is a digital planning and networking tool that helps exhibitors maximize their event experience before and during NAB Show New York.
Use the Planner to connect with attendees, schedule appointments and showcase your company. Additional promotional and lead-generation features may be available through upgraded packages.
