Working with EACs
Are you planning to hire a vendor that’s not on our preferred vendors list? If yes, you must register each company as an Exhibitor Appointed Contractor through the EAC Registration Portal by April 10, 2026. Common use-cases include booth installation/dismantle labor, florists, photographers and audio-visual equipment providers.
EXCLUSIVE VENDORS: Please note that vendors listed as “exclusive” on our vendors list are the only companies authorized to provide the indicated service per the building regulations.
EAC Requirements
An Exhibitor Appointed Contractor will only be granted access to the show floor if:
- Show management has approved a Certificate of Insurance. Note: We will only accept hard copy COIs onsite at Exhibitor Registration moving forward. View exhibitor access hours and locations.
- Exhibitor Appointed Contractors are licensed to work in the Las Vegas Convention Center and display their current ESCA badge onsite at all times. Review page 13 of the LVCC Building User’s Manual for more information.
It’s the Exhibitor’s sole responsibility to ensure any hired EACs are aware of, and comply with, all requirements and guidelines outlined by NAB Show.
Certificate of Insurance Requirements
Please bring a hard copy of your COI onsite to exhibitor registration.
The EAC shall, at its sole cost and expense, procure and maintain insurance through the term of the 2026 NAB Show (April 13 – 25, 2026), including comprehensive General Liability and Workers’ Compensation, with coverage of claims for bodily injury or death and property damage occurring in or upon or resulting from the premises leased by show management.
Your COI Must State the Following:
- Additionally insured: National Association of Broadcasters (NAB), Las Vegas Convention Center/LVCVA and Freeman
- Show dates: April 13 – April 25, 2026
General Liability Coverage Limits:
- General Aggregate: $2 million
- Products – Comp/Op Aggregate: $1 million
- Personal and Advanced Injury: $1 million
- Each Occurrence: $1 million
- Damage (any one instance): $100,000
- Medical Expenses (any one person): $5,000
Workers Compensation Limits:
Workers Compensation and Occupational Disease insurance shall be in full compliance with all federal and state laws, covering all the EAC’s employees engaged in the performance of any work for the Exhibitor.
Exhibitor Guidelines
It is the Exhibitor’s sole responsibility to ensure any hired EACs are aware of and comply with the following requirements and guidelines:
- EACs are required to follow strict guidelines regarding union jurisdictions. They may hire their own union personnel to perform labor; however, EACs may not do work that is designated as “exclusive” per the building regulations. Visit our preferred vendors page for details.
- In addition to registering with show management, EACs must be licensed to work in the Las Vegas Convention Center as a current member of ESCA (page 13 of the LVCC Building User’s Manual) and display their ESCA badge on site at all times.
- EACs must comply with all Show rules and regulations, labor union regulations and the LVCC Building User’s Manual, and they accept appropriate liability for any negligent actions. All lifts and manpower must be provided by Freeman. The use of motorized lifting equipment and mechanical material handling equipment (such as mechanical scooters and carts} by Exhibitors and EACs is prohibited.
- Registered EACs are allowed access to the show floor during move-in and move-out only. For morning and evening access on Show days, they must obtain a Booth Maintenance Pass from the Show Management Office (C101, Central Hall). EACs are allowed access to the show floor during move-out, starling at 3 p.m. on Wednesday, April 23.
Solicitation on the show floor is strictly prohibited. Any EAC engaged in this activity, including the distribution of promotional literature, will be removed from the show floor.
EAC Show Floor Access Hours
Exhibitor Appointed Contractors are allowed access to the show floor during move-in and move-out only. For morning and evening access on show days, EACs must obtain a Booth Maintenance Pass from the N4 registration desk outside of North Hall from 8 a.m. to 5 p.m.
