Exhibitor Appointed Contractor Registration
Are you planning to hire a vendor that’s not on our preferred vendors list? If yes, you must register each company as an Exhibitor Appointed Contractor through the EAC Registration Portal by April 10, 2026. Common use-cases include booth installation/dismantle labor, florists, photographers and audio-visual equipment providers.

Donate Items to Opportunity Village
NAB Show has partnered with Opportunity Village, a Vegas-based nonprofit organization dedicated to helping people with disabilities find the very best versions of themselves.
The Opportunity Village team will help coordinate item drop-offs so every exhibitor can travel home with ease while making a difference. Sign-up books will be available at each Freeman Service Desk, along with flyers for vendors to complete and take if the exhibitor chooses to donate. The books are checked hourly, and Opportunity Village will connect with each exhibitor accordingly.
Exhibitors are able to contact Opportunity Village directly at +1 702-300-8409 to sign-up ahead of time. The short-list of items not accepted include booth walls, shelving, display bases and signage.
Press Resources
Members of the media will be present at this event. Please note that anything you showcase on display at your booth and otherwise is considered public record and may be used in written articles, audio recordings and photo/video documentation. If you have any questions, regarding press lists, press releases, or press briefings, please visit the Newsroom in West Hall.

On-site Security Tips
As the 2026 NAB Show is quickly approaching, we would like to share some important security tips and best practices with you to help ensure a smooth and secure event experience for our exhibitors:
- Secure Your Booth:
- Always keep valuable items such as laptops, tablets, and merchandise securely stored when not in use.
- Use lockable display cases or cabinets to protect high-value items.
- Avoid leaving cash or sensitive documents unattended in your booth.
- Do not place valuable items like handbags or laptops behind your booth.
- Control Access to Your Booth:
- Designate specific staff members to manage access to your booth and monitor visitor activity.
- Be cautious of unauthorized individuals trying to handle your merchandise.
- Be Aware of Social Engineering:
- Be vigilant of individuals posing as attendees or exhibitors who may attempt to gain unauthorized access to your booth or sensitive information.
- Do not turn your back on attendees if they are handling product.
- Report Suspicious Activity:
- If you notice any suspicious behavior or security concerns, report them immediately to event security personnel or show management. LVCC security can be reached at +1 702-892-7400

Exhibitor Work Rules and Regulations
Rules and Regulations
Exhibitors participating in NAB Show Las Vegas are encouraged to review the official Rules and Regulations to ensure a safe, compliant and successful on-site experience. Guidelines outline what is and is not permitted across all aspects of exhibiting —from booth design, labor and material handling to the use of A/V, lighting and demonstrations, and policies on safety, security and legal compliance. Exhibitors must adhere to all federal, state and local regulations, follow venue-specific requirements (including ADA and fire safety standards), and coordinate with approved contractors for certain services. The rules also detail enforcement procedures and potential consequences for non-compliance to help maintain a professional and secure environment for all participants.
We strongly recommend Exhibitors review all NAB Show and LVCC rules and regulations, including:
Hand Carry Policy
Exhibitors have the option to order Cart Services through the Freeman Service Kit, or “hand carry” items. If you choose to “hand carry,” Exhibitors must use a designated privately owned vehicle, unloading locations and hand carry entrances as outlined in the Freeman Service Kit. Please note that Freeman is the exclusive provider of material handling services.

Exhibitors May:
- Hand carry from a privately-owned vehicle, including a passenger automobile, minivan, sport utility vehicle or pick-up truck. Parking on a red curb or in traffic lanes is prohibited.
- Hand carry small items such as cartons and packages.
- Use a personal luggage/office supply dolly. Please note that the use of hand carts is prohibited.
Freeman Must:
- Manage freight docks and schedule all vehicles into and out of designated material handling areas, ensuring a smooth, orderly and efficient move-in and move-out experience.
- Load and unload all trucks, trailers, common and contract carriers at the facility and designated material handling areas. Freeman is also responsible for moving all freight from the loading dock to and from the booths.
- Move in and out all display vehicles.

Freight Management
Move-In Reminders
NAB Show is a targeted show, which means that you are assigned a specific day and time for move-in. All display materials and freight must arrive on your assigned target move-in date, or you are subject to a surcharge. You may also be charged additional fees if you move in outside your target window, so please double-check this information.

Advanced Shipping
If you shipped your freight advance-to-warehouse by the deadline date, it will be delivered to your booth by 8 a.m. on your target move-in date.
Direct-to-Show Shipping
If you shipped your freight direct-to-show, your carrier must check in at the Marshalling Yard by 3:30 p.m. on your assigned target move-in date for same day unloading. Depending on when your carrier checks in, freight may be delivered to the booth as late as midnight on your target move-in date. Overtime charges for labor and material handling will apply Monday–Friday from 5 p.m. to 8 a.m. and all day on Saturday, Sunday and Holidays.
Empty Booths
If your booth is not set by 5 p.m. on Saturday, April 18, Show Management reserves the right to rent or use empty space in a way that will complement the overall appearance of the Show and shall not be obligated to refund the space rental fee. Exhibitors may lose their right to exhibit if they do not adhere to the above schedule.

Move-Out Reminders
Dismantling may not begin before 5 p.m. on Wednesday, April 22.
Examples of prohibited activities include: Dismantling or packing of display, product, or samples; contractor labor in booth; leaving the booth unmanned; and boxes or shipping containers visible in booth. Furthermore, all truss and motors must be dismantled, and all carriers must check in by 5 p.m. on Friday, April 23. Please ensure all staff associated with your booth understand these policies.
Material Handling and NAB Show Cares
As part of our exhibitor’s first approach, NAB Show has secured pre-paid (NSF)-based material handling rates directly through our vetted vendors.
This negotiated rate covers:
- Freight delivery for items (originating from your company or approved Exhibitor Appointed Contractor) from the marshalling yard to your booth
- Empty storage throughout the event
- Outbound loading after the Show closes
- POV unloading and vehicle spotting
Our pre-paid NSF rate applies to shipments originating from the exhibiting company or from an approved Exhibitor Appointed Contractor. To protect the integrity of our negotiated program:
- NEW! Outside third-party exhibit equipment vendor shipments — such as carpet vendors, A/V providers, or furniture suppliers — will be billed directly to the exhibitor at a flat rate of $1.84 per pound.
This approach ensures fairness and maintains the value of the NAB Show exhibitor bundle.
Show Lights and Power
What You Need to Know
Full show lights will be turned on one hour prior to Hall open and off right at Hall close. 24-hour power is on during move-in only. Starting Sunday, April 19, power will be turned on 30 minutes prior to the Show Floor opening and turned off 30 minutes after Show Floor closing. You can order 24-hour power at an Exhibitor Service Desk (Freeman).
Lights Out Approval Requirements
On Wednesday April 15th, Freeman will be testing lighting within requested booth space. All exhibitors may request the lights located directly over their booth be turned off. Shrouding of lights (fabric hung around light to screen light from certain areas) and turning off of individual lights are done one at a time. For the purposes of lights out, three request-types are doable:
- Over Booth — Lights directly over exhibitor’s booth. This request should be done in advance.
- Partial Over Booth — Lights partially over exhibitor’s booth and partially over adjacent aisle or exhibitor.
- Adjacent Aisle Lights — Lights completely over adjacent aisle. The exhibitor that is closest to the light has the right to determine if the light may be turned off. However, the final decision for any lights being turned off always reverts to Show Management and the Fire Safety Office.
