Access Guidelines

Admittance During Non-Show Hours
Refer to Show Hours for detailed access hours for Exhibitors, Exhibitor Appointed Contractors (EACs) and Manufacturer Reps.

After Hours Work Passes and Special Event Passes
Passes may be obtained from the Exhibit Management Offices, located in C102 of the LVCC. Security guards are required for Exhibitors wishing attendees (with valid special event pass) to access their booth before or after show hours. The Exhibitor must hire a security guard(s) at their expense for the duration of the event. The guard should escort the group, in its entirety, to and from the Exhibit Hall. Proof of security guards and a guest list must be presented to Show Management to receive these Passes. Exhibitors are responsible for ensuring their guests have the proper Passes to gain access to the Exhibit Hall during their event.

Badges
Badges are required for entry into the Exhibit Hall at all times and are non-transferable. Business cards are not to be used in show badge holders. Eight complimentary exhibitor badges are allotted per 100 net sq. ft. (9 sqm) of purchased booth space. Additional badges may be purchased for a fee of $25 per badge. Show management has the right to change this allotment. Exhibitor registration will open in September.

Delivery and Removal During Show
Delivery or removal of any portion of an exhibit will not be permitted during the show without written permission from Show Management. No deliveries may be made during show hours.

Exhibitor Guests / Traffic
General admission to the NAB Show® Exhibit Hall will be available to all registered attendees and registered Exhibitor guests of at least 16 years of age. NAB Show makes reasonable attempts to attract quality attendees to the Show, but does not guarantee specific volumes or levels of qualification. Traffic by any given booth is a function of that particular exhibit and is not the responsibility of Show Management.

Equipment / Product Removal Passes
Equipment Passes are required to remove equipment / products from the Exhibit Floor. These Passes are available from the Exhibits Management Office, C102 and NAB Show Floor Managers. Exhibitors may request multiple Passes for distribution to their booth staff. In addition to your Exhibitor badge, a photo ID and business card must be presented to the security guard upon exiting. Portfolios, brief cases and packages may be subject to inspection by the security guards.

Security
NAB Show provides perimeter guard service from move-in, on show days and through move-out. While every reasonable precaution will be taken to protect Exhibitor property, the NAB Show, its official contractors, and the facility are not responsible in the event of theft, accident, vandalism, or other damages. This general perimeter security will be available 24-hours a day and is responsible for badge and parcel checking only. Exhibitors who will be working late are encouraged not to work alone. If an item is stolen from the booth, please report the incident to one of Show Management's Security Offices (North / Central Halls – C107 Meeting Room between Halls C1 and 2 and South Hall Meeting Room S110). Copies of all theft reports are delivered to Las Vegas Convention Center (LVCC) Security and Las Vegas Police. Be sure to request a copy as these documents are often required when submitting insurance claims.

Secure storage will be made available in both NAB Show Security Offices free of charge overnight and is for hand carried items only. This service must be arranged onsite, each night at one of the Security Offices listed above. The same individual with Exhibitor badge and photo ID that dropped off the item(s) must be the one who picks them up.

Ultimately, Exhibitors are responsible for the security of their displays and personnel at all times. To facilitate this, Show Management recommends securing private booth security by contacting DTA Security Services at (702) 650-2298.

Do not leave the booth unattended, particularly during move-in and move-out. Also, take inventory of products during these times. Keep small portable products out of sight, under lock or take them when leaving the Exhibit Hall. Security cages are available from Freeman.

Session Passes
Session Passes allow an Exhibitor to attend an educational session within any of the NAB Show conferences outside of training and certification offerings. Session Passes do not include access to Luncheons or Breakfasts. Passes are interchangeable among booth personnel. An Exhibitor badge and Session Pass are required to attend a session. Note: to attend a session within Post|Production World (PPW), Exhibitors must purchase a PPW Registration Package (One-Day Passes available). To attend a Luncheon, Exhibitors must purchase a separate ticket for each Luncheon. Tickets for Breakfasts are not available for purchase.

Booth Activities

Exhibitors are responsible for supervising employees and temporary staff (models, mascots, hostesses, etc.) to ensure adherence to the rules. All booth activities must take place within the confines of the assigned booth space. Booth activities deemed too disruptive may be discontinued at Show Management's discretion.

Animals are not permitted.

Food and Beverage
No food or beverage, including marketing giveaways, is permitted to be brought into the LVCC without the expressed consent of ARAMARK, the official food and beverage provider. Exhibitors should contact ARAMARK for more information. Please note, corkage fees may be assessed for all food and beverages brought into the facility.

Giveaways / Contests / Raffles
These activities are permitted, however exhibitors should be aware that the laws and regulations may vary from state to state and can often have particular requirements (e.g., payment of taxes, age limitations, etc.). Please consult legal counsel to ensure that your giveaway / contest adheres to Nevada State Lottery Laws and contest rules.

Models / Hosts / Hostesses / Mascots
Exhibitors are responsible for the actions of their models / hosts / hostesses / mascots. Models / hosts / hostesses / mascots must remain within the confines of the exhibitor's contracted exhibit space. If using a modeling agency other than NAB Show's official agency Judy Venn and Associates, please make sure the agency has the appropriate license to work in the state of Nevada. Your contracted models / hosts / hostesses / mascots are not permitted in other exhibit booths, the aisles or public areas. If models wear costumes, please remember the Exhibit Floor is a professional work place. To facilitate access to the Exhibit Floor for your models / hosts / hostesses / mascots, Exhibitors may register them as Manufacturing Representatives. Show Management reserves the right to discontinue any activity and escort persons off the Exhibit Floor that do not comply.

Promotional Activities
All promotional activities and distribution of literature must take place within the confines of the assigned booth. Exhibitors, hired models, hosts, hostesses, personnel, etc. will not be permitted to distribute literature or perform in the LVCC or the Las Vegas Hilton unless it is within the confines of the assigned booth. All Exhibitors are subject to the rules of the NAB Show and the LVCC.

Solicitations / Gratuities
Solicitation of tips or special payments of any kind is prohibited. Any attempt to solicit a gratuity by a contractor employee for any service should be reported to Show Management immediately.

Sound Restrictions
Sound systems are an important component to most exhibits at the NAB Show. The following guidelines have been established with regards to sound in an Exhibitor's booth:

  • The noise level standard at the Show is 85 decibels.
  • Any complaints reported to Show Management will be tested from the center of the aisle in front of the Exhibitor's booth in question. If the noise level goes above 85 decibels, or is particularly disturbing or disruptive, Show Management will direct that the noise be turned down.
  • If after one warning by the NAB Show staff the offending exhibitor does not reduce the sound level, Show Management may elect to shut off the power to the offending portion of the exhibit. The Exhibitor will be responsible for any charges related to this action.
  • All speakers must face inward and not out towards the aisles or neighboring exhibits. If Show Management finds Exhibitors with speakers not in compliance to this guideline, the direction of the speakers will be relocated to a more appropriate position. Offending Exhibitors will be responsible for all charges related to this action.
  • No element can impede the aisles.
  • Video productions relating to an Exhibitor's equipment will be permitted, provided equipment and screens are set back from all aisles and all viewers stand or sit within the confines of the booth.
  • No singing, dancing or use of musical instruments or other types of live performance is permitted without written permission from the NAB Show. See guidelines under Theater Demonstrations below.

Special Events

NAB Show Exhibitors planning to host an event in their booth before or after scheduled show hours must do the following:

  • After Hours Special Events may only be held Monday, April 16 – Wednesday, April 18, 2012 from 6 – 7:30 p.m. Events on Thursday, April 19 are not permitted.
  • Before Hours Special Events may only be held Monday, April 16 – Thursday, April 19 beginning at 7:30 a.m.
  • In special circumstances a special event may be approved for Sunday, April 15, between 4 – 7 p.m. Please note additional fees may apply as Exhibitors may be required to purchase 8' drape from the designated entrance to and surrounding their booth. This drape may be required to protect neighboring booths finalizing equipment set-up and programming.
  • Submit a completed Special Events Form by March 16, 2012.
  • NAB Show must receive confirmation of hired security and the number of RSVPs for the event before Special Event Passes will be issued.
  • Security guards, hired by the Exhibitor, must be present at all Before Hours and After Hours events. Security is required to escort event attendees to and from the booth and the Exhibit Hall entrance and to ensure attendees stay in the booth. The number of security guards needed is based on the following sliding scale:
    • 400 sq. ft. (36sqm) and smaller - one guard
    • 401 – 900 sq. ft. (>36 - 81sqm.) - two guards
    • 901 – 1,200 sq. ft. (>81 - 108 sqm.) - three guards
    • 1,201 – 2,000 sq. ft. (>108 - 180 sqm.) - four guards
    • 2,001+ sq. ft. (>180 sqm.) - determined by Show Management based on type of event.
  • All planning and costs associated with the Special Event are the responsibility of the Exhibitor, including notifying customers about the event and distributing Special Event Passes.

Theater Demonstrations / Live Entertainment / Product Demos
All demonstrations must take place within the confines of the assigned booth space. Theater demonstrations must abide by the following guidelines:

  • Design area that can sufficiently hold the audience within the confines of the exhibit space. Spectators will not be permitted to block aisle traffic.
  • No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisle.
  • Booth personnel, including demonstrators, hosts / hostesses and models are required to confine their activities within the booth space.
  • Exhibitors are responsible for assigning staff or hiring security to manage crowd control and to ensure aisles are kept clear and access to neighboring exhibits is maintained.
  • As stated in the NAB Show's Terms and Conditions, no singing, dancing or use of musical instruments or other type of performance is permitted. However, Show Management may allow such performances for purposes of demonstrating an Exhibitor's product. All such demonstration performances require prior approval. All requests must be submitted to Show Management, in writing, by Friday, March 16, 2012. Submit your request via email to the NAB Show Exhibit Services Team or by fax at (202) 429-3922.
  • Show Management reserves the right to determine action for those exhibits in violation including but not limited to hiring security at the Exhibitor's expense and / or shutting down power.

Booth Regulations

ADA Compliance
The Americans with Disabilities Act (ADA) applies to the NAB Show and requires that convention facility and services are accessible to those with disabilities. All Exhibitors must comply with ADA requirements and may be subject to penalties for failure to do so. Be sure when planning the booth / exhibit that you take into consideration those with disabilities. Necessary compliance efforts may differ with the nature of the exhibit so please consult your own attorney regarding these requirements or contact the ADA Information line at (800) 514-0301 or www.usdoj.gov/crt/ada/infoline.htm.


Balloons
Exhibitors must follow all LVCC regulations in regards to utilizing balloons in their displays and promotional activities. The list of these rules and regulations is posted here.


Booth Materials

  • Drape, carpet and all types of exhibit materials must be fire resistant.
  • Painting and spraying of toxic or flammable substances is prohibited, along with the use of flammable liquids, compressed air, dangerous chemicals and open flame.
  • Crates and boxes may not be stored within the booth.
  • All electrical wiring must be covered or taped down.
  • All fire boxes, aisles and exits must be kept clear and visible at all times.
  • Electrical equipment must be installed, operated and maintained in a manner that does not create hazard to life and property.

Rules by Booth Type
Exhibitors must adhere to the following rules that apply to Booth Type:

Linear Booths
One or more standard ten foot by ten foot booths (10' x 10' (3m x 3m) / 3 x 3 meters.) in a straight line (minimum size is 10' x 10' (3m x 3m)).

  • The maximum height of eight feet (8' / 2.44 meters) allowed only in the rear half (5' / 1.52 meters) of the booth space, with a four foot (4' / 1.22 meters) height restriction on all materials (product or equipment) in the front half of the booth. Note: when three or more Linear Booths are used in combination as a single exhibit space, the four foot (4' / 1.22 meters) height limitation is applied only to that portion of exhibit space which is within 10 feet (10' / 3.05 meters) of an adjoining booth.
  • Hanging signs are not permitted in Linear Booths.
  • No endcapping permitted.

Perimeter Wall Exhibits
Standard booth located on the outer perimeter wall of the Exhibit Floor.

  • The maximum height of 12 feet (12' / 3.66 meters) allowed only in the rear half (5 feet / 1.52 meters) of the booth space, with a four foot (4' / 1.22 meter) height restriction on all materials (products or equipment) in the front half of the booth.
  • The Exhibitor must drape off unfinished back walls; logos cannot be hung from that backwall.
  • Hanging signs are not permitted in Perimeter Booths.

Extended Header Exhibit
A Linear Booth 20 feet (20' / 6.10 meters) or longer with a center extended header.

  • All guidelines for Linear Booths apply to Extended Header Booths, except that the center extended header has a maximum height of eight feet (8' / 2.44 meters), a maximum width of 20% of the length of the booth, and a maximum depth of nine feet (9' / 2.7 meters) from the back wall. Height limitations include product and equipment.

Island Exhibits
Island Booths (20' x 20' (6m x 6m) or larger; exposed to aisles on all four sides) and Split Island Booths (20' x 20' (6m x 6m) or larger, sharing a common back wall with another Island Booth) should work towards the following general guidelines to ensure visibility to neighboring booths:

  • All Island Booths configured with solid walls or items that may potentially obstruct the line of sight of neighboring booths should submit a Booth Layout Schematic for NAB Show's review and assistance.
  • When designing island booths, Exhibitors are asked to consider allowing for at least 20% visibility on structures / walls above 4' tall on all four sides. Split Island Exhibitors should take the same guidelines into consideration on all sides except the shared common back wall.
    Examples:
    • 20' x 20' (6m x 6m) must include a 4' break on all four sides on structures above 4' tall;
    • 30' x 30' (9m x 9m) must include a 6' break on all four sides on structures above 4' tall;
    • 40' x 80' (12m x 24m) must include an 8' break on the two 40' sides and 16' on the two 80' sides.
  • Exhibitors may use Plexiglass or a similar see-through material to create taller structures / walls that will allow for line of sight above 4'.

Files should be saved as PDF, TIF, or JPEG only and include:

  • An overall 3D graphic of the design.
  • Plan view clearly showing all dimensions, walls and exhibit elements.
  • Scaled side and height elevations.
  • Hanging signs dimensions and height from top of sign to floor.
  • Exhibiting Company Name and Booth Number.

Split-Island Booths
A booth that is 20' x 20' (6m x 6m) or larger with aisles on three sides back-to-back with another exhibit of the same configuration. Exhibitors utilizing a Split-Island booth are encouraged to contact their neighboring Exhibitors in advance to discuss respective designs. NAB Show will supply you with the proper contact name and phone number upon request.

  • The maximum height varies by Exhibit Hall due to different ceiling heights in the halls. Please refer to the chart below.
  • The entire cubic content of the booth may be used up to the maximum allowable height, however, Exhibitors must still follow the Line of Sight Guidelines (20%) listed below.
  • Logos, advertising, signs, etc., may not be placed in such a way as to be visible over the top of the shared wall. Back walls in violation of this rule will be draped at the offending Exhibitor's expense. Hanging signs in violation of this rule will be removed or re-hung at the Exhibitor's expense.

Island Booths
A 20' x 20' (6m x 6m) booth or larger with aisles on all four sides.

  • The maximum allowable height varies due to different ceiling heights in the halls. Please refer to the chart below.
  • The entire cubic content of the space may be used up to the maximum allowable height; however Exhibitors must follow the Line of Sight Guidelines (20%) listed below.
  • Hanging signs are permitted.

Booth Reviews / Variance Requests
Exhibitors with concern regarding booth structure guidelines or wanting to request permission to construct their booths outside the stated guidelines, must complete the Booth Variance Request Form and submit a schematic / drawing of their booth for review. For further assistance, please call NAB Show Exhibit Services at (877) 622-3947 or (202) 595-2051.

  • This is only a requirement if requesting a variance.
  • Please include on the schematic / drawing the exact height of the exhibit structure, towers and / or hanging signs, and indicate aisle or booth orientation.
  • Clearly mark the height of each level on double deck booths. In addition, please indicate the direction any doors will open.
  • The maximum height for Split-Island and Island spaces to the top of the sign / exhibit structure must be denoted and fall within the guidelines outlined in the chart above.
  • All communication regarding booth designs must be in English.
  • Exhibitors' requests for booth reviews / variances must be submitted by March 16, 2012.
  • Verbal approvals will not be given.
  • Booth reviews / variances are valid for the 2012 NAB Show only.

Please note: this approval only relates to Show Management guidelines and regulations. Booth designs, if necessary, should still be submitted to the LVCC Fire Marshall and a structural engineer for their approval. Exhibitors can contact the LVCC Fire Marshall and structural engineers via email.

Covered, Multi-Level, and all Exhibits over 1,000 Square Feet
Designs for Covered and Multi-Level Exhibits must be approved by a certified structural engineer and then submitted to the LVCC Safety Department for approval. For more information please refer to the LVCC Regulations for Covered and / or Double Deck Exhibits. Refer to the Official Vendors section for facility contacts / approvals.

All Booths over 1,000 sq. ft. must be submitted to the LVCC Fire Marshall for approval.

Also included in this section is a Booth Plan Review Checklist. All Exhibitors considering using any type of second story or ceiling effect should review this checklist.

Exhibit Displays / Equipment

  • No portion of an exhibit may extend into the aisles or exceed the booth dimensions or height restrictions. Exhibits / displays / equipment may not extend into the aisle at any height level.
  • Logos, flashing lights, lasers and the like may not be used outside the assigned booth, i.e., Exhibitors cannot shine logos onto the ceiling or facility wall.
  • Equipment must be kept at least 12 inches from all aisles.
  • A company's equipment is subject to all of the rules described in each booth type's guidelines / rules discussed in the section.
  • If the equipment will need to be positioned in a way that might violate these guidelines / rules, please contact the NAB Show Exhibit Services team at (877) 622-3947, (202) 595-2051 or via email to discuss.

Floor Covering

Carpet and / or alternative floor covering is required in all exhibits, except outdoor exhibits and may be either ordered from Freeman or supplied by the Exhibitor. Carpet will be installed by Show Management at the Exhibitor's expense if the booth is without carpet at 3 p.m. Sunday, April 15, 2012.

Full Height Construction

Please be considerate of others when designing your booth; every Exhibitor has the right to be visible. If the exhibit is built to the maximum height allowed across one or more sides of your booth, the booth is blocking neighboring Exhibitors from being seen. Please be respectful of all Exhibitors.

Line of Sight Guidelines
All booths, regardless of size or type, should be designed in such a way so as to eliminate line of sight obstructions from one exhibit to the next. Island Exhibitors planning the use of solid walls or drape that obstruct the view of neighboring Exhibitors is inappropriate. Additionally, Island Exhibitors are also asked to take their neighboring Exhibitors Line of Sight into consideration when positioning hanging signs to ensure signage does not impede the view of their neighbors.

New for the 2012 NAB Show - All Island Booths regardless of size should allow at least 20% of visibility (above 4 feet / 1.22 meters tall) on all four sides. Split island booths should allow 20% of visibility on all sides excluding the shared back wall.

Examples:

  • 20' x 20' (6m x 6m) Island: Each side of the booth must have visibility for a minimum of four feet (4' / 1.22 meters). View a sample diagram here.
  • 30' x 40' Island: The 30 foot (30' / 9.14 meters) sides of the booth must allow visibility for a minimum of six feet (6' / 1.83 meters); the 40 foot (40' / 12.19 meters) sides of the booth must allow visibility of eight feet (8' / 2.44 meters).
  • Exhibitors may use plexiglass or similar material to create a wall that will allow for line of sight from one booth to the next.

Height Regulations by Booth Type
The maximum height allowed for exhibit structure or products vary by booth type and location. Refer to the chart below to determine the maximum height allowed for your booth. Refer to the Booth Type section above to determine which portions of your exhibit may reach these limits.

Hanging Signs
Hanging signs are permitted for Split-Island and Island Booths only. They are not permitted in Standard Linear and Perimeter Booths.

Companies that occupy Split-Island Booths must position hanging signs at least five feet (5' / 1.52 meters) forward from the back wall.

Hanging signs must remain within the height guidelines of the booth they occupy. These guidelines were determined based upon ceiling heights in each hall, including obstructions. Exhibitors wishing to hang banners above the recommended guidelines must contact Freeman to ensure there are no obstructions in the ceiling over the area to be utilized. Banners and signs must also follow the Line of Sight Guidelines listed above.

All hanging signs, both electrical and non-electrical will be hung by Freeman. If the sign requires electricity, electrical services must be ordered through Freeman.

Lights-Out Requests
Lights-Out is an option available to those Exhibitors with Island Booths measuring 400 sq. ft. or greater. To arrange for Lights-Out, please complete and return the Lights-Out Form to Freeman by March 23, 2012. Beginning Friday, April 13, 2012, there will be designated "Full Lights" periods for Exhibitors to determine if they will require shrouding or additional aisle Lights-Out.

  • Visit the NAB Show Floor Plan to view the placement and number of lights over your booth. Contact Freeman at (702) 407-4696 with any questions. Refer to the applicable lighting grid to determine light numbers for ordering Lights-Out. Lighting grids are available here.
  • Pre-ordered lights may only be turned out when directly overhead and in the confines of your booth. Lights will only be turned off directly over the Exhibitor's booth when possible.
  • No lights will be turned out if located on a catwalk and outside the confines of your booth. All orders for aisle lights off or shrouded must be placed onsite with your NAB Show Floor Manager and must be agreed to by affected neighboring Exhibitors.
  • The Exhibitor will be responsible for any charges related to turning the Lights-Out over their booth.
  • Onsite, or after the deadline, any Exhibitor requesting the lights above their booth being turned off will be responsible for paying for supplemental lighting of affected neighboring Exhibitors.

Rigging Regulations
The LVCC will strictly enforce the following rules:

  • Any object more than 250 lbs. or requiring chain motors must be submitted to Freeman for approval by the LVCC.
  • All rigging plans must be submitted to Mike Edgeworth, Rigging Manager at Freeman, 21 days prior to the start of rigging installation for group submittal to the LVCC.
  • All rigging plans must state the structure of rigging, weights and an overlay of the rigging within the booth space. Freeman is required to reflect the plot plan for all booths on the overall ceiling plan for each show. The Exhibitor will be charged $94 per hour straight time to transfer the plot plan to the overall ceiling grid that Freeman is required to submit to the LVCC for approval. All files should be in DWG format. VectorWorks and PDF format files are not acceptable. Any conversion to DWG will be charged at $94 per hour straight time.
  • Upon request by the LVCC, the Exhibitor will be required to provide the certifications for all hoist motor and rigging apparatus to the director of engineering.
  • All special and unusual weights, motors apparatus or items not normally hung must obtain written permission from the director of engineering. Exceedingly large rigs that support abnormal loads, or non-uniform distribution of weight or hardware, may require (at the Exhibitor's expense) plans that have been approved and stamped by a licensed engineer selected by the Las Vegas Convention and Visitors Authority (LVCVA).
  • Freeman cannot hang any object prior to approval from the director of engineering or his / her representative.
  • Weight on the catwalks will not exceed 25 pounds per square foot.
  • There will be no rigging under the catwalk structure.


Stickers
Stickers are prohibited on LVCC property.

Vehicles/Helicopters
Helicopters must fit in the confines of your booth (this includes the blades) and cannot extend into the aisles at any height level. Exhibitors should affix colored tape to the blades for safety. Freeman will assess a Vehicle Spotting Fee, round-trip, per vehicle moving into and out of the hall. Exhibitors planning to have a vehicle or helicopter in their booth must notify Freeman by March 16, 2012. Please contact Joe Famageltto at (702) 579-1705 or via email with any questions.

The following is the LVCC's operation procedure for helicopter landings:

  • Exhibitors requiring helicopter landing on LVCC premises shall provide insurance coverage of $10,000,000 Aircraft Liability including passenger liability. A Certificate of Insurance, listing the LVCVA as additional insured must be provided by March 16, 2012 for landing a helicopter.
  • Exhibitor must receive approval for the helicopter landing from LVCC; please contact Brandy Chisnall at (702) 892-7525 or via email for further details.
  • Exhibitor must inform pilots that they are required to maintain two-way radio contact with either McCarran Airport Control Tower or an approach control if one is provided.
  • Space and condition of the landing site is up to the pilot's judgment. However, the LVCVA Customer Account Manager must ensure all debris removed from the landing area and vehicles are a safe distance from the intended landing area. Precautions must be made to prevent pedestrian traffic into the area.

General Las Vegas Convention Center Rules

Halogen Lamp Restrictions
The use of stem and track mounted halogen or other fixtures employing either a linear halogen bulb or a non-shielded halogen bulb may not be used. Refer to the Las Vegas Convention Center Building Users Manual for additional information.

Flame Retardant Certification
All materials used in Exhibit construction, decoration, or as a temporary cover must be certified flame retardant or a sample must be available for testing. Materials which cannot be treated to meet the requirements may not be used.

Booth Covering
Allowable mesh covering above booth(s) on the show floor is 70 percent open and with no less than 3/8" inch openings. In addition, the thickness cannot be greater than the openings.

Firewatch
If a contiguous overhead covered area does not meet the booth covering guidelines above, and the overhead covered area is between 300 and 999 square feet, an after hours fire watch is required. If the overhead covered area exceeds 999 square feet, a temporary automatic fire sprinkler system is required to be installed below all covered areas.

Smoke Detector
Please provide a smoke detector in all fully enclosed areas, i.e., storage area(s).

Storage
No more than a one-day supply of materials may be stored in the booth at one time. No storage is permitted behind booths or near electrical service.

Exiting
Code states that the maximum travel distance to an exit aisle from within an exhibit booth cannot exceed 50 feet. Please provide additional exit doors, openings etc., if needed.

Final Approval
As always, final approval is determined by an onsite review by a member of our Safety Department for compliance with Fire Safety Guidelines.

Any single level exhibit exceeding 300 square feet of contiguous overhead covered area and / or 1,000 square feet of total booth space, and all multiple-level exhibits, must submit a booth plan to the LVCVA Safety Office for approval prior to the exhibit coming onto LVCVA property. Other Terms and Conditions

Insurance
All Exhibitors must comply with all LVCC rules applicable to exhibit construction, installation, operations and dismantling, as well as any applicable federal, state or local statute and / or regulation.

The Exhibitor shall, at its sole cost and expense, procure and maintain through the term of this contract, comprehensive general liability insurance against claims for bodily injury or death and property damage occurring in or upon or resulting from the premises leased by NAB Show. Such insurance shall include contractual liability and product liability coverage, with combined single limits of liability. Refer to the Labor Guidelines sections for specific insurance coverage. Such insurance shall name NAB Show, Las Vegas Convention Center and Freeman as an additional insureds, and Exhibitor shall upon request provide NAB Show with certificate so indicating. Workers Compensation and Occupational Disease insurance shall be in full compliance with all federal and state laws, covering all of the Exhibitor's employees engaged in the performance of any work for the Exhibitor. All property of the Exhibitor is understood to remain under its custody and control in transit to and from the confines of the Exhibit Hall and during the Show.

Most Exhibitors can add NAB Show, Las Vegas Convention Center and Freeman to their existing policies. Please contact your insurance company directly. Exhibitors are not required to send proof of insurance to NAB Show in advance. However, Exhibitors are required to submit proof of insurance upon request. Exhibitors unable to add onto their current policies or international Exhibitors may purchase a general liability policy from the NAB Show's preferred partner, John Buttine Inc. Insurance.

U.S. Laws and Regulations
Exhibitor agrees to comply with and conform to any and all U.S. laws and regulations including but not limited to commerce, tax and export laws / regulations.

Installation and Dismantling Personnel
Exclusive providers of certain services are described in the Exhibitor Service Manual. Exhibitors using exhibitor appointed contractors (EACs), companies and other services other than NAB Show's official contractors must advise them to check with Exhibitor Registration upon their arrival. NAB Show Management must receive EAC's notification and Certificate of Insurance in writing by March 11. Copies of all job orders must be presented upon request to NAB Show Management to qualify their company's participation. Upon verification, official service badges allowing access to the Exhibit area during move-in and move-out hours only will be issued. EACs must comply with all requirements of the Las Vegas Convention Center and Las Vegas Hotel and Casino, as applicable.

Exhibitor Listings
The confidentiality and safety of each Exhibitor's password is the responsibility of the individual listed as the Official Exhibitors Logistics Contact per the executed NAB Show Exhibit Space Contract. All inquiries regarding passcode information will be directed to the Official Exhibitors Logistics Contact.

Each Exhibitor is responsible for truthfully and accurately entering data into and maintaining the NAB Show Exhibitor Directory Listing. NAB Show shall not be responsible for any delays or outages in the display of such listing or any inaccuracies in the listing.

NAB Show reserves the right to reset any Exhibitor password.

NAB Show reserves the right to remove any Exhibitor Listing for failure to comply with any or all terms or guidelines set forth in the Exhibitor Service Manual or the Exhibitor Space Contract.

NAB Show reserves the right to remove data or text from any Exhibitor Listing that it deems inappropriate.

Direct Selling
NAB Show strictly prohibits over-the-counter sales (i.e., cash, check or credit card). Only bona fide business orders for future delivery are permitted. NAB Show reserves the right to close down booths in violation of this regulation. If after one warning by NAB Show Staff (including Floor Managers), the offending Exhibitor does not comply with these regulations, NAB Show, at its discretion, may elect to shut off the power to the Exhibit. In addition, the following penalties may be applied:

  • Exhibit booth will be closed for the remaining duration of the show. Exhibitor will not be eligible for any refunds on booth space or booth services including electrical, internet, furniture etc. Exhibitor will be responsible for any charges related to the booth.
  • Exhibitor will lose all accumulated priority points.

Transmitters
To operate any transmitter or transmitting device (which includes but is not limited to wireless microphones, walkie-talkies, portable transmitters and satellites) at the NAB Show, the exhibitor must have the appropriate license(s) from the Federal Communications Commission (FCC) and comply with all pertinent FCC rules and regulations. Note that these devices, when used, may interfere with equipment being used by others. If a signal from a transmitter or transmitting device causes interference, the exhibitor will be required to:

  • Turn the transmitter off if it is not properly licensed.
  • If it is properly licensed but still causes interference, the Exhibitor may be required to turn the power down, redirect the signal or otherwise work with NAB Show and others to help resolve the interference problem.

The FCC rules regarding transmitters can be complicated; NAB Show suggests discussing options with a lawyer or consultant. The Association of Federal Communications Consulting Engineers is a good resource – www.afcce.org.

All Exhibitors placing a satellite outside of the facility are required to submit the Satellite Placement form, located in the Material Handling section of the Exhibitor Service Manual and order any applicable services or wiring.

Unoccupied Space
Exhibit displays at the Las Vegas Convention Center must be set by 2 p.m., April 15, 2011. Should any space (for which a signed contract has been received and rental payment made) remain unoccupied after 2 p.m., NAB Show reserves the right to rent or otherwise use such space and shall not be obligated to refund the space rental fee.

Smoking
Smoking is prohibited in the Las Vegas Convention Center.

Segways
Are prohibited at NAB Show.

Age Requirements
For safety and security, no one under the age of 16 is permitted on the Exhibit Floor at anytime.
