Exhibitor Appointed Contractors (EACs)

General Information

Exhibitor Appointed Contractors (EACs) are independent contractors hired by Exhibiting Companies. These services can include labor to build the booth, booth supervisors, booth designers, independent display companies, delivery personnel, technicians, manufacturing reps, etc. An EAC will only be granted access to the Exhibit Floor if Show Management has received the EAC Work Authorization Registration, approval from the Exhibitor and a valid Certificate of Insurance. There will be no exceptions. In addition, EACs must be licensed to work in the Las Vegas Convention Center (LVCC); and must register through the Worker Identification System to obtain this license.

EACs are required to follow strict guidelines regarding union jurisdictions. They may hire their own union personnel to build the booth, however, all exclusive services must be completed by Freeman personnel. For insurance and safety reasons NAB Show Official Vendors must be used for the following services (no exceptions will be made):

Electrical Material Handling / Drayage Decorator Labor
Telephone Booth Cleaning Millwright Work
Plumbing Rigging  

EAC’s must notify Show Management by March 16, 2012 if they have been hired by an exhibiting company by completing the EAC Work Authorization Registration. Exhibiting companies must notify Show Management of any EACs who will be working on or supervising their booth no later than March 16, by completing the EAC Work Authorization Registration for each of their Exhibitor Appointed Contractors. No EAC will be allowed on the Exhibit Floor unless NAB Show has received the Authorization Form and a valid Certificate of Insurance, and has approved the contractor for work during the Show. If you are using an official NAB Show contractor, an EAC Work Authorization Registration is not necessary.

Insurance Requirements

The EAC shall, at its sole cost and expense, procure and maintain through the term of the 2012 NAB Show (including move-in and move-out), Workers Compensation Insurance and Comprehensive General Liability insurance against claims for bodily injury or death and property damage occurring in or upon or resulting from the premises leased by Show Management. Such insurance shall include Contractual Liability and Product Liability coverage, with the following limits:

Workers Compensation Insurance

  • Workers Compensation and Occupational Disease insurance shall be in full compliance with all federal and state laws, covering all of the EAC's employees engaged in the performance of any work for the Exhibitor.
  • Please provide Workers Compensation Insurance policy information.
  • Wristbands will not be issued without Workers Compensation Insurance information.

Automobile Coverage
Exhibitors or EACs who will have vehicles on the Exhibit Floor are required to have appropriate automotive coverage listed below.

The Certificate of Insurance is a General Liability Insurance Certificate & Workers Compensation Certificate naming the NAB Show, Freeman and LVCC as additional insured.

Guidelines and Regulations

  • EACs are to check-in on site in Las Vegas at Exhibitor Registration at the C3 entrance of Central Hall in the LVCC.
  • EACs are not allowed on the Exhibit Floor during Show hours. If an EAC needs access during Show hours they must also register as a manufacturer rep.
  • All EACs must comply with all NAB Show Rules and Regulations and accept appropriate liability for any negligent actions.
  • EACs shall be prepared to show evidence to Show Management and Official Contractors that it possesses applicable and current contracts.
  • Exhibitor agrees they are ultimately responsible for all services in connection with their exhibit, including freight, material handling, rentals and labor.
  • The Show aisles and public spaces are not part of the Exhibitor's booth. Therefore, the EAC is required to confine all activities to the exhibit space of the Exhibitor who has given the valid order for services.
  • Solicitation on the Exhibit Floor is strictly prohibited. Any EAC engaged in solicitation on the Exhibit Floor including the distribution of official company literature will be removed from the Exhibit Floor, unless pre-approved in writing by show management.
  • All lifts and manpower must be provided by the Official Service Contractor.
  • The use of all motorized lifting equipment by Exhibitors or EACs for installation of booth structures or signs is not permitted.
  • The operation or use of mechanical material handling equipment by exhibitors or EACs is not permitted. This also includes all mechanical scooters or carts.

EAC Access to the Exhibit Floor

Wristbands

  • Wristbands give EACs access to the Exhibit Floor 6:30 a.m. – 8 p.m. during move-in and move-out only.
  • Wristbands will only be given to EACs if Show Management has received and approved all of the following forms:
  • All EACs must carry a valid ESCAWIS badge at all times.
  • Wristbands will be distributed at the EAC desk at Exhibitor Registration beginning at 8 a.m. on Monday, April 9.
  • Wristbands may be picked up beginning at 3 p.m. for the following day.
  • Wristbands must be worn at all times during move-in and move-out and be clearly visible to security personnel.

After Hours Work Passes

  • Monday, April 9 – Thursday, April 12 – After Hours Work Passes are available for access to the Exhibit Floor from 8 – 11 p.m.
  • Friday, April 13 – Sunday, April 15 – After Hours Work Passes are available for access to the Exhibit Floor from 8 p.m. – 6:30 a.m.
  • Thursday, April 19 – Saturday, April 21 – After Hours Work Passes are available for access to the Exhibit Floor from 8 p.m. – 6:30 a.m.
